Setup guides
Four things account for most of the setup work in a new account. Each guide below is written as the order to do it in, not as a feature list.
- 1Guide 1
Prepare and import your customer list
Getting records in cleanly is what makes the first month of scheduling work. Do this before you build any schedules.
- Collect customer names, contact details, and every service address.
- Decide which addresses belong to which customer, since one customer can hold several locations.
- Remove duplicates before importing rather than merging afterwards.
- Contact us to review the file with you and run the import.
- 2Guide 2
Set up a recurring service
A recurring service is the service itself, its price, the location it applies to, and how often it happens. Create it once and the visits keep generating.
- Create the service and set its standard price.
- Attach it to the customer's service location, adjusting the price if that customer is different.
- Choose the frequency and the assigned technician.
- Check the first few generated visits before your team relies on the schedule.
- 3Guide 3
Require proof before a visit is submitted
Task templates are how you make sure a finished visit means the same thing every time, no matter who performed it.
- Create a task template for the service, not for the customer.
- Add the notes, readings, confirmations, and photos your procedure requires.
- Assign the template to the service.
- Walk through one real visit with a technician and adjust anything that did not match how the work is actually done.
- 4Guide 4
Choose how customers pay
You do not have to change how you collect money to use Tracwave. Decide this deliberately rather than by default.
- Keep your current process and use Tracwave for scheduling and records.
- Or connect your payment provider, such as Stripe, to send payment links.
- Set whether invoices go out on completion, monthly, or on your own cycle.
- Check your provider's processing fees before you send the first invoice.
