- What is Tracwave?
- Tracwave is a platform for service businesses that need to manage recurring work. You can organize customers and service locations, schedule visits, assign technicians, track tasks and photos, and keep your whole operation in one place instead of juggling spreadsheets, text messages, and paper notes.
- How can Tracwave help my business?
- Tracwave keeps everyone on the same page. Managers see which jobs are due, who is assigned, and what was completed. Technicians see their routes, service location details, and checklists. Customers receive clear quotes, invoices, and service reports. That means fewer mistakes, less back-and-forth, and a more professional experience for your clients.
- What kind of businesses do you support?
- Tracwave is built for any service business that works on routes or recurring visits. We’ve seen success with pool companies, lawn care, pressure washing, cleaning services, and similar home and property services. The system is flexible. Tasks, services, and schedules can be customized so it fits how your business already runs.
- Do I have to change how I run my business to use Tracwave?
- No. Tracwave is meant to fit around your existing workflow. You can start simple, maybe just scheduling and technician tracking, and then add quotes, invoices, or other tools when you’re ready. You stay in control of your pricing, services, and how you communicate with customers.
- What kind of support do you offer?
- We’re very hands-on. We help with onboarding, imports, and day-to-day questions as they come up. While we’re not literally awake 24/7, we do our best to respond to questions and issues as quickly as possible, including evenings and weekends whenever we can.
- Is there a contract or a minimum number of locations?
- No. There is no contract term, no minimum, and no cancellation fee. Billing follows the service you record each month, so a small route costs less than a large one without you having to choose a plan that matches.
- How long does it take to get running?
- Most of the work is getting your customer list in and creating your services. Once those exist, building a recurring schedule takes minutes per service. Start with one route rather than your whole book, confirm the generated visits look right, then bring the rest across.
Scheduling and technicians
- Do my customers get a login as well?
- Yes. Customers can get secure access to our website to view their quotes, invoices, and service information. For now, the mobile app is only for managers and technicians, but your customers don’t need an app to stay informed. They can see what they need from their browser and through the emails you send from Tracwave.
- What can my technicians do with Tracwave?
- Technicians can log into the mobile app to see their assigned visits, view service location details, follow task checklists, add notes, and upload photos. This gives you a detailed record of what happened at each visit, makes it easy to answer customer questions, and helps you keep a consistent service standard across your team.
- How does scheduling and routing work?
- You can set up recurring services, like weekly, bi-weekly, or monthly visits, assign them to technicians, and see everything on a calendar. Tracwave also provides a route view so you can see jobs and technicians on a map for the day or week, helping you reduce drive time and keep routes efficient.
- Can you help me import my existing customers and set things up?
- Yes. We can help you bring in your existing customers, service locations, and technicians so you don’t have to start from scratch. Our goal is to get your account organized quickly and correctly so your team can start using Tracwave in real life without a painful transition.
- Can I require photos before a visit can be submitted?
- Yes. Photo requirements are part of the task template you build for each service, alongside required notes, readings, and confirmations. A technician cannot submit the visit until the requirements you set are met, so every completed visit carries evidence.
- What happens when a visit is not completed?
- It stays open on the schedule rather than disappearing. You can see which visits are still outstanding, reassign them to another technician, or move them to a different day without disturbing the recurring pattern behind them.
Billing and payments
- Can Tracwave send invoices and collect payments on my behalf?
- Yes, we can. If you choose to connect your own payment provider, such as your Stripe account, Tracwave can send invoices, set up subscriptions, and help you collect payments from your customers. If you prefer to handle payments yourself, you simply don’t connect a payment account, and Tracwave will still handle scheduling, routing, customers, technicians, notes, photos, and communication while you charge your customers using your existing process.
- What happens in a month when I do not service anyone?
- You are not charged usage, and the $25 base fee does not apply, because both are tied to recorded service. Optional add-ons you keep active, such as a branded subdomain, are still billed. This is what makes the pricing workable for seasonal businesses.
- Are there costs beyond the usage rate?
- Payment processing fees, which your provider charges you directly rather than through Tracwave, and any optional add-on you choose, such as a branded subdomain for your customer portal. Taxes apply where relevant to your business.
